Email Integration
LiquidPlanner has multiple email integration features to help you communicate more efficiently with your team and get new tasks into LiquidPLanner.
In order to take advantage of our inbound email features, be sure that your email integration setting is enabled at the desired security level.
Send outbound emails
You can send emails from LiquidPlanner via the Collaborate menu.
- Send email links to selected items
- Send a task update request to the owner of selected items
- Send email to all members in the workspace
- Send a timesheet update (this one is a link on the timesheet review page.)
Receive email notifications
LiquidPlanner offers two type of email notifications:
UPCOMING TASKS gives you a list of your tasks that are scheduled for the next two days. This notification is sent daily by default, but if you'd rather not get this notification at all, just set the frequency to 'never' in your personal profile settings.
RECENT CHANGES notifies you when certain edits are made to tasks that you own or watch*, but only when these edits are made by other people. Recent Change notifications are sent in realtime by default, but you can change that to a daily digest or never via your personal profile settings.
*Watching Plan Items: To watch a plan item, select it and then click Collaborate > Watch For Changes. Or, expose the Watched column in your plan and click on the star to watch or unwatch. If you watch a container (project, sub-folder or package), you'll be notified of changes made to all tasks in that container.
Recent Change triggers include:
- When an item is newly assigned to you
- When a comment is addressed specifically to you
- When any of the following are added or changed:
- Description
- Detailed Notes
- Comments
- Deadline Date
- Milestone Date
- Event Date
- Attachments
- Links
- Max Effort
- Custom Fields
- Shared with portal status
- Done vs. Active Status
- Owner
- Project, Package or Folder association
Reply to email notifications
When you are notified about a comment, you can reply to the comment via the notification email. The content of your reply email will be added to that plan item in LiquidPlanner.
- For daily digest notifications, use the Reply link that is provided within the body of the notification right under each comment. This ensures that your reply is added to the correct plan item.
- For Realtime notifications, which include only one plan item per notification, you can use the Reply link within the body of the notification or you can simply use your email client Reply feature.
- A bonus of Realtime notifications is that you can use your email client to reply to a notification even when it's not a comment that you are being notified about.
Create new tasks via email
- Start by getting the email address of the target container in LiquidPlanner. This can be the address of the workspace, a project, folder or package. To get the address, select the container, then click collaborate > get email address. If you intend to create new tasks frequently in the same container, you'll want to store the container address as an email contact.
- Fill in the “To:” line of your new or forwarded email message with the address of the target container.
- Fill in the "Subject" line using this format: task name, owner, estimate, e.g. Build widget, Charles, 3-5 days. (Only the task name is required.)
- Add your content to the body of the email, attach files as necessary, and send.
- The body of your email will show up in the Detailed Notes section of the new task's Details page. Attachments will show up 'attached documents' on that page.

Email comments & files to an existing task
- Obtain the task's address at collaborate > get email address.
- Paste the task address into the “To:” or "cc:" line of your email message.
- Add your content to the body of the email, attach files as necessary, and send.
- The body of your email will show up as a discussion comment on the task's Details page, and attachments will show up as 'attached documents' on that page.
Email comments & files to an existing folder or package
- Obtain the folder or package address at collaborate > get email address.
- Paste the folder or package address into the “To:” or "cc:" line of your email message, then add "re" to the front of it. For example, if the container address is this: 2141200-34e13b4f@in.liquidplanner.com, then your email should be addressed to this: re2141200-34e13b4f@in.liquidplanner.com
- Add your content to the body of the email, attach files as necessary, and send.
- The body of your email will show up as a discussion comment on that folder or package's Details page, and attachments will show up as 'attached documents' on that page.
